The question we’ll work through
How can a growing team act quickly without losing control?
A practical operations model where every action has the right authority, evidence, owner and reportable history.
Before you begin
Complete Phases 3–6. Treat security, retention, reporting definitions and service targets as design inputs rather than polish.
This guide is part of a phased educational application. Behaviour is labelled as planned, demonstrated or verified. Examples use synthetic data and simulated money; a real-money launch would require separate commercial, legal, security and operational decisions.
As the marketplace grows, operations needs work queues for verification, decisions, unknown payments, arrears, support and exceptions. Every item needs an owner, status, evidence, next action and due date. Escalation should be explicit rather than hidden in a private conversation.
Authority is more precise than a role name
A platform administrator does not automatically have payment authority. A support colleague can answer a question without changing a balance. A person preparing a controlled action cannot approve the same action. Access combines the person, the record, the action and the account status.
Audit history records who acted, when, why and which version they saw. Retention and disposal are policy decisions. Reports must identify their source, calculation and freshness, and oversight users need exception views rather than an attractive number with no explanation.
Practise, then reflect
Your turn to make the decision
Design a work queue for an unknown payment and an overdue repayment. Assign preparation, approval, review and escalation responsibilities without granting one person every power.
Compare your reasoning with mine
The queue records an owner, status, due date, evidence and next action. Permission is checked against the person, record and controlled action. Audit records who did what and why; reporting identifies the source and freshness of each figure.
Take it one step further
What would you refuse to automate until its policy, evidence and escalation path were understood?
